2. Resource Layout & Update Process 

SME identifies need for new resource based on member activity or new law or regulation.

SME assigns final draft version to Marketing in Basecamp, Is the request clear?

SME formatting with the following details in the Basecamp request:

  • Objective – What is it and how will it be used?

  • Deliverable – What final product do you want (PDF, Word doc, PPT, other)?

  • Medium – Where will it live or be utilized?

  • Target audience – Who is the target audience?

  • Category – primary category resource should be listed under

  • Sub-category – sub-category resource should be listed under

  • Web summary – 1-2 sentence summary of what the resource is and how a members should use it (will appear on cda.org for listings that show add'l info, or when you see add'l info when hovering over a link)

  • Deadline – When do you need it to be completed/published? 

  • Dependencies – Does the request/project have time-sensitive dependencies and what are they?

  • Expiration/next date to review – this is the date the resource needs to come up for review

    • 1 year for legal or regulatory items

    • 2 years for all other items

Does this resource need design edits? Flowchart and checklist will need design edits

If Yes, details should include:

  1. Resource Name

  2. Description of edits and edits doc

  3. Deadline

  4. Previous resource InDesign file & PDF

  5. Resource ID

  6. cda.org resource URL

  7. When designer posts revision, review against edits provided if anything we missed, or you noticed additional edits that need to be made before the PS analysts should review, work with designer to update until revision is ready for PS analyst review.

  8. Route to PS analyst for review; if additional edits, reroute to designer and repeat steps 1-7 until approved.

If No, details should include: informational documents i.e. no artwork required can be placed inside of the template. If the resource does not need to be download it can be placed as web copy

  1. Open CDA resources template

  2. Previous resource word doc file: (shared folder link)

  3. Review Word document with edits in tracked changes and add to the template.

  4. Update resource ID. Note B2P has a different ID compared to PS resources

  • Respond to SME with clear overview of changes made. Include questions you or the designer may have. Request SME provide approval within 2 day’s.

4. Posting Online

Did SME provide approval to post? If Yes follow the steps below:

  1. Name/rename the updated version of the resource the exact same filename as the previous version (for example, “sick-leave-faq.pdf”)

  2. Upload the updated version to File Management folder. practice_support > category folder

  3. Get file URL.

    2. You will only need the red section to replace on the website.  

  4. Place updated URL code into “article detail type” source code.

  5. Scroll towards the bottom and update Publish date to the date of posting.

 Monthly Resources Process

Steps

Description

Coordinator/Admin pulls report spreadsheet from Access database

  • Timing – in last week of month 0, report posted of resources expiring in month 2 for review/update in month 1

    • Example – in last week of April, report posted of resources expiring June 1–     June 30 for review/update in May

Coordinator/Admin creates new to-do list in each subject category resource development project in Basecamp

  • To-do list name: Resource Review - RC Resources Expiring June 2019

Coordinator/Admin attaches report & comments on to-do list, tagging PS Analyst:

  • Teresa - please see the Regulatory Compliance resources in the attached spreadsheet that are due for review in <MONTH>. These resources are expiring <MM/DD/YYYY> - <MM/DD/YYYY>. The expiration date is indicated in Column __

For resources reviewed that do not need updates, PS Analyst adds a to-do with the resource name and assigns to Coordinator/Admin with due date to update Access record

    • Comment and tag Coordinator/Admin

No update needed. Set expiration date to <DATE>

5.

For resources reviewed that do require updates follow process:

  • SME creates draft of resource update.

  • SME opens job in Basecamp for resource update using the resource update template.

    • If draft requires legal (or other internal review) review SME owns the process of routing to the correct contact in each department for review and editing.

    • SME sends resource draft and new descriptive paragraph (if new) to Communications (copywriter) for review.

  • SME assigns final draft version to Marketing in Basecamp

    • Marketing to follow steps 1-5 listed above.
