INITIAL PROJECT DETAILS

Background

The Dentists Insurance Company (TDIC) is closely regulated by the Department of Insurance (DOI). Many of the forms that are used by TDIC must be submitted for approval by the DOI and once approved, must not be altered in any way. One of the forms that is included in this category is the application for coverage for the various lines of business under TDIC.

TDIC currently underwrites a variety of insurance coverages for dentists – Professional Liability (New Dentist and Experienced Dentist), Commercial Property (Business Owner’s and Lesser’s Risk), Cyber Suite Liability, Employment Practices Liability, and Workers’ Compensation. Each line of coverage has a unique application that has been submitted to, and approved for use from, the DOI.

TDIC submits these applications in a PDF format to the DOI but has traditionally also had an online application for customers to fill out to apply for coverage. The application is not updated and filed with the DOI often, but when it is, the online application is often cumbersome and difficult to update to match the filed form that was submitted to the DOI, putting TDIC out of compliance.

Goal

A streamlined online application that is more easily updated than the current web forms that TDIC uses for all applications. The online application will closely mirror the filed PDF with the DOI but also provide a good user experience for a potential customer so that their first interaction with TDIC is positive.

Objectives

The online applications for the various TDIC products should be user-friendly and able to be easily filled out on all devices, allowing potential customers to fill out applications with minimal to no support from TDIC’s sales and service team. At the completion of the application online, the completed form and all necessary attachments should then be sent to a web portal and/or email address for TDIC staff to access to take to the next step in the underwriting process. If possible, a copy of the application should also be sent to the applicant for their records. This will complete the online portion of the application process and allow TDIC to follow up via phone or email, should there be additional questions for the applicant.

Project Phases

  • Phase 1: Rebuild the 7 forms in Action forms to replace PDF versions. Focus was to get new forms on website as quickly as possible. As Legal and Underwriting did not have specific requests for form results, the most efficient path was that form results were emailed as plain text (not a PDF) as well as accessible as a CSV download through Action Forms.  

  • Phase 2 (not started): Focus on advanced functionality (skip logic/conditional questions) and creating a dedicated admin access area to generate reports. If form results are needed to be emailed as a PDF, this can be added to the scope of this work and we can get a cost estimate from the vendor.
